A Best Student Paper Award will be granted to a student author, for writing a remarkable paper and making an outstanding presentation at ECOC2020

- To compete for the Best Student Paper Award:
         - The principal author must be a student at the time of submission of his/her paper.
         - The student should apply by ticking the appropriate box, in the on-line paper submission form.
         - The student must be registered to the conference. No financial help will be provided for conference registration, transportation and accommodation by the conference organisers.
         - The student author must be the presenter of his/her work at the conference.

- Eeleven finalists will be preselected by the 10 ECOC Sub Committees and the CLEO Focus Session in their respective areas during the paper review meeting in June. The finalists will be immediately notified that they have been short-listed, and will be asked to deliver a second presentation for the jury at the conference, in addition to their scheduled presentation in the conference Programme. The jury will consist of the Conference General Chairs, the Technical Programme Committee Co-Chairs.
- The winner will receive a check of 2,000€ and two runners-up will receive 1,000€.
The jury will announce their decisions during the closing ceremony of ECOC2020 on Thursday September 24, 2020.

 

A Best Demo Award will be granted to the authors of a remarkable Demo presented at the DEMO session of ECOC 2020
- All accepted demos will compete.
- The Best Demo will be selected through a two-stage procedure.
- First, during the Demo Session (i.e., Tuesday September 22, 2020 from 12:30 to 17:00) all the registered ECOC 2020 delegates will be invited to vote by sending an e-mail to This email address is being protected from spambots. You need JavaScript enabled to view it..
- Then, the winner will be selected among the three most voted demos by the ECOC 2020 TPC Demo Session Committee.
- The winner will receive a Best Demo Award Plaque and a special prize of € 1000.
- The Best Demo will be announced during the closing ceremony of ECOC2020.
- A special gift winner will be extracted among the voting delegates. The winner will receive the gift during the closing ceremony of ECOC 2020.

INSTRUCTIONS FOR PRESENTERS

Instructions for Oral Presenters (Tutorials, Invited and Regular Oral Papers)
In order to ensure a smooth course during the sessions, we kindly ask presenting authors to consider the following:
The time slot for each presentation is:
- Tutorials: 60 min. (50 min. presentation and 10 min. discussion)
- Invited and upgraded papers: 30 min. (25 min. presentation and 5 min. discussion)
- Regular oral papers: 15 min. (12 min. presentation and 3 min. discussion)
- Workshops: Check with your workshop organiser for confirmation of timing
- Post deadline paper: 15 min. (12 min. presentation and 3 min. discussion)

Session chairs have been instructed to rigorously enforce the schedule, i.e., to strictly limit the length of a presentation. We kindly ask you for your understanding and for your cooperation in keeping the schedule.
Be at the room of your session 15 minutes before session start, so that you can meet your session chairs and the other speakers in advance.


  • Speakers Room and presentations

    - Presenters must upload their presentations in the Speaker Room at least 1 hour prior to their session. Please bring your presentations on a USB memory stick in MS-Power Point or Adobe PDF.
    Please make sure that it fulfills the necessary requirements for the following software:
    MS Office 2013 or later version (Word, Excel, PowerPoint)
    Windows Media Player
    Adobe Acrobat Reader
    - The standard format of the projectors in the conference rooms is 4:3. The default slide size in PowerPoint 2013 and in the latest version is widescreen (16:9), it might be necessary to manually change this. Change the slide size from widescreen (16:9) to standard (4:3).
    - Please give the technical personnel any special instructions you may have when you are in the Speaker Room, not during your lecture.
    - Afterwards, the presentation will be sent to the room. Each room has a technician, who will assist and start the presentation for you. No use of personal laptops will be allowed. Note that there will be no presentation uploads in the conference rooms.

 

Instructions for Poster Presenters

- The poster area will be located in Hall 11. Poster presenting authors can display their poster during the day of their session. Please remove your poster after your session, posters not withdrawn after the day will not be saved.
- Each poster board is marked with a poster ID-number. Please find your poster ID-number in the final Programme.
- Authors can display their posters from 9:00 and must remove them no later than 17:00.
- Authors are requested to use only the boards provided for their poster.
- Authors are required to stand by their posters during their whole scheduled poster session time on Tuesday and Wednesday .
- The maximum size of your poster should be 95cm (height) x 240cm (width).
- Posters should be fixed to the bulletin board using the supports that will be provided on site.
The poster message should be clear and understandable without oral explanation. When preparing the poster, presenters should have in mind the objective of capturing the interest of attendees to the work that is being presented. The quality of the presentation stimulates the attention from the audience and improves the overall satisfaction of the community attending the conference. Use an appropriate font size allowing posters to be readable by delegates 1.5 m away.


Instruction for Demo Session Presenters

- ECOC 2020 will include a Demonstration Session.
- The session will provide the opportunity to see live demonstrations and prototypes of collaborative research projects corresponding to all relevant topics of the Conference.
- The live session will provide a forum for researchers from Industry and Academia to give a demonstration of their work with concrete systems, tools and prototypes. The Demo zone will be open to both Conference Delegates and Exhibition Attendees, providing unique opportunities for potential technological transfer and dissemination of project results.
- Authors are invited to submit technical proposals in the standard Conference proceedings style via the online submission system, selecting the dedicated “Demo” sub-category. A complete submission should not exceed the three pages of the regular conference submissions.
- Demo proposals will undergo a peer review selection process conducted by the Demo Sub committee, composed of the Demo Sub Committee Chairs, the 2 Technical Program Committee (TPC) Conference chairs and the 10 TPC Sub Committee chairs. The accepted proposals will be included in the Conference proceedings.
- Submission is restricted to collaborative research projects (single-partner Demo submissions are discouraged). Submissions from EU funded projects are especially encouraged. No demonstrations of commercial or pre-commercial products will be accepted.
- The proposals should include specific sections highlighting the innovation that will be demonstrated and how the demo will be presented and illustrated interactively.
- The main criteria for the selection of a demo are the level of innovation and how the demo is presented (live demonstrations with on-site hardware equipment are preferred. Pre-recorded videos and other material can be used as support/backup material but should not be the main technical content of the demonstration).
- For each selected demo, a rectangular table 125cm (length) x 75cm (width), 2 chairs, a power outlet strip (4 outlets, 2kW max), a bulletin board 95cm (height) x 240cm (width), a 24-inch monitor (with one HDMI cable, one VGA cable), and Wi-Fi Internet connectivity (best effort) will be provided.

Workshops

Workshops will be held on Sunday, 20 September 2020, and are open to all conference registrants.
Each workshop will have a total of two sessions of two hours each, including a panel for interactive discussions. The format of each session is determined by the organizers.

Submission guidelines

- Three-page papers should be submitted electronically through the ECOC website
         - no later than April 15, 2020 (23:59 CEST) for Regular Submissions and
         - no later than April 15, 2020 (23:59 CEST) for Demo Papers.
- Papers cannot be submitted by fax, hard copy or E-mail.

- All the co-authors will receive all correspondence concerning the paper.
- The submitting author will have access to the paper after submission via the submission system on this page.

The technical programme committee appreciate papers which…

  • - States clearly in the introduction the application and technical problem
  • - Provides an original solution not previously published in journals or other conferences
  • - Clearly identifies the novelty of the work is in the abstract, introduction and conclusions
  • - Includes, where possible, quantitative claims and fair unbiased, comparisons to previous work
  • - Includes a reasonable list of contextualized references
  • - Correctly identifies the nearest prior state-of-the-art through citations
  • - Acknowledges the contributions of other groups to the state-of-the-art through citations
  • - Avoids unnecessary self-citations
  • - Provides citations following the prescribed template
  • - Includes a clear figure/schematic of the investigated setup/devices or configuration
  • - Provides sufficient details to enable the work to be reproduced by others, including a clear description of structure/principle in addition to the results
  • - Directly supports the claimed novelty with the presented results and goes beyond a simple iteration of a previous publication
  • - Clearly justifies implementation choices in consideration of the application requirements
  • - Provides a comprehensive discussion of the results
  • - Includes results fundamentally reliant on optics

  • Papers can only be submitted as PDF with embedded fonts.
    - Papers must be written in English.
    - It is the author’s responsibility to submit a correct paper; any errors in spelling, grammar, or scientific fact will be reproduced as typed by the author, if accepted.
    - Your 45 words abstract, which will appear in the conference program, should be an explicit summary of the paper that states the problem, the methods used as well as the major results and conclusions. It should be complementary to rather than a repeat of the title.
    - IEEE policy requires that all accepted papers must be checked for plagiarism. This can be accomplished through the IEEE CrossCheck Portal
  • - All authors of accepted papers must transfer copyright to IEEE by utilizing the electronic IEEE Copyright Form(eCF)


Successful authors and accepted papers: general rules

- Each accepted paper must be associated to at least one author registered to the conference. Each registered author can be associated to no more than two accepted papers.
- Only the papers that are correctly associated to a registered author will be included in the Final online programme/abstract book.
- The full version of the included papers will be published as part of the Technical Digest, complete with ISBN reference number and available to all conference delegates, and will be submitted for inclusion into IEEE Xplore as well as other Abstracting and Indexing (A&I) databases.

ECOC 2020 will include a Demonstration Session.
